Track stock for an item

Turn on counting so Surge keeps a running number of what's on the shelf.

Who is this guide for?Anyone with a manager code, at the terminal. Owners and Admins can also do it in the back office, on the Stock page or through an import.

Before you begin

  • Stock counts is on under Store setup > Features, in Stock and scanning. Stock counts are part of Surge Plus and Surge Premium.

About counting

Counting is off for new items. When it's on, each sale takes stock away and every other change is recorded with a reason.

Items with sizes are counted per size.

Turn on counting

  1. Go to Store setup > Items, click Actions and choose Export library (Excel).
  2. In the file, type the count in the New Quantity column for that location. For a low-stock warning, set Stock Alert Enabled to Y and type the number in Stock Alert Count.
  3. Click Actions > Import library and import the file.

Add an item on the Stock page

On the back office
  1. Go to Store setup > Stock.
  2. Click Add item.
  3. Under Item, pick the item. It must already be in your item library.
  4. In How many are there, type what's on the shelf now.
  5. Optional: in Warn below, type the level you want a warning at.
  6. Click Add to stock.

See your stock

In the back office, Store setup > Stock lists every counted item with On hand and Warn below. At the terminal, the Inventory tab shows the same list. Tap All to switch to Low only.

Each morning, Owners and Admins with an email address get one email per location listing what is running low. No email is sent when nothing is low.

Low-stock warnings

  • An item is flagged when it has its warning number or fewer left.
  • On the Stock page, the count turns red and a need attention link shows just those items.
  • The Time to reorder email arrives at 8:00 AM in your shop's time zone.
  • An item with no warning number is never flagged or emailed.

When stock reaches zero

The terminal never stops a sale because of the count. An item's tile shows how many are in stock, and at zero or below it shows 0 left in red and still sells.

A count below zero means the shelf and the record disagree, so do a recount. To stop selling an item, mark it sold out.

The back office can start counting an item but has no switch to stop. To stop counting one, turn off Count this item's stock at the terminal. Email info@surgeups.com.
