About items
The item menu is part of Surge Plus and Surge Premium. On Surge Free you sell with Quick Sale, keying in the amount.
Every item has at least one variation. An item with one price has one variation. An item with sizes, like a Small and a Large latte, has one variation per size, and each one has its own price, SKU, barcode and stock count.
Changes reach your terminals within a couple of minutes.
Create an item
- Sign in to the back office and go to Store setup > Items.
- Click Create item.
- Under Details, type the Name and choose a Category. Leave it as Uncategorised if you don't use categories.
- Type the Price in dollars, for example 4.50. A price of 0 is allowed.
- If the item comes in sizes, click Add an option. Type the option, like Size, and its Values separated by commas, like Small, Medium, Large.
- Click Save. The new item opens so you can finish it: photos, prices per location and variations.
- Tap Inventory at the bottom of the screen.
- Tap + New.
- Enter a manager code when the terminal asks for Manager approval.
- Type the item name. Tap Select category to put it in a category.
- If it comes in sizes, fill in Called (for example Size) and Values (for example Small, Large).
- Type the Price. Scan the item or type its number into Barcode, or leave it blank.
- Turn on Track stock if you want to count it, and type How many are there now.
- Tap Save.
Set prices, SKUs and barcodes per size
Open the item in the back office. The Variations card lists each size with its SKU, Barcode, Stock, Cost and Price. Click a price, type the new one, and press Enter or click away. It saves on its own.
To set a SKU or barcode, click into its box and type it, or scan the item's barcode straight into the Barcode box. Press Enter or click away to save. Clear the box to remove it.
To create a variation for every combination of your options, click Create variations in the Options card. It only adds combinations that don't exist yet. Nothing is renamed or removed. An item can have up to 5 options.
Check ID for age-restricted items
Under Details, choose an Age restriction, for example 21. The terminal then stops and asks the cashier to check the customer's ID before the item can be sold. Items with an age restriction aren't sold on a self-order kiosk.
Add photos
Photos show in the back office and on the self-order kiosk.
- Open the item. Photos can be added once the item is saved.
- In the Images card, click Add an image and choose a JPEG, PNG or WebP file.
- Add up to 6 images. Click Remove under one to take it off.
Stop selling an item
Open the item and click Archive item. It comes off the register but stays on past receipts and in reports. Nothing is deleted. To bring it back, set the status filter to Archived, open the item and click Restore item.
To stop selling it at one location only, untick Sold at for that location in the item's Sites card. To take it off for a day, mark it sold out instead.
